Everything in students and families

TuitionSync gives each student one record, linked to the parents and guardians who pay the fees, receive messages and act as emergency contacts. Siblings are recognised through shared guardians, so the family appears together and fee notices can go out as one message. Staff see enrolment, attendance, balances, documents and notes on the same profile, limited to what their role allows.

Student profiles
Record each student's details, school, level, photo and status. The status follows the student from registration and trial to active, stopped or graduated, so class lists and reports show who is currently attending.
Parents and guardians
Link any number of guardians to a student, and any number of students to a guardian. For each child, mark who pays, who receives notifications and who to call in an emergency.
Families and siblings
Siblings are linked through their shared guardians, so staff see the whole family from any child's profile. Fee notices and reminders can be grouped into one message per family instead of one per child.
Enrolment and trials
Enrol students in classes as regular, extra or trial students. Trials can convert or stop automatically under your centre's rules, and a class change keeps the history of what the student attended before.
Documents and notes
Keep registration forms, photos and other documents with the student. Staff add callback notes, remarks, merits and incident or health notes, each saved with its author and date.
Imports from spreadsheets
Bring in existing students and guardians from Excel or CSV files. An import can be checked in a dry run first, which lists any problems before anything is saved.

Questions about students and families

Can one parent be linked to children in different classes or branches?

Yes, a guardian is linked to each of their children, whichever class or branch they attend, and sees all of them in the family app. Fee notices and reminders for the family can be grouped into one message.

Can we import our existing student list?

Yes, students and guardians can be imported from Excel or CSV files. A dry run lists any problems, such as missing guardians or duplicate student codes, before anything is saved.

Who can see a student's personal details?

Only staff whose role allows it, and the student's own guardians in the family app, can see personal details. For staff, viewing them is a separate permission from general access to student records, and every change to a record is kept in the audit trail.
