Set your fee rules once: by number of subjects, per subject, per level or as packages, with subsidies and discounts. Each month TuitionSync prepares a fee run for finance to review, and invoices are issued only after approval. Parents pay online, by bank bill payment or at the counter; receipts are matched to invoices, and invoices and credit notes can be sent to LHDN MyInvois.

- Price tuition by number of subjects, per subject, per level or as a package, and add material, registration and other fees. Subsidies, discounts and per-student overrides are applied by rule rather than by hand.
- Fee runs with preview and approval
- Each month TuitionSync prepares a fee run with every student's charges, exceptions and totals. Finance reviews the preview and approves it to issue the invoices, and no student is billed twice for the same month.
- Invoices, receipts and deposits
- Invoices, receipts, credit notes and payment vouchers are numbered in sequence for each branch and never edited once issued. A receipt can pay part of an invoice, and any amount left over is kept as a deposit.
- Online payment
- Parents pay from a link or the family app with the methods your payment gateway offers, such as FPX, cards and e-wallets. Once the gateway confirms the payment, the receipt is issued and matched to the invoice.
- Statements and reminders
- Send each family a statement of account, and remind parents of outstanding fees on the day you choose by WhatsApp, SMS, email or the family app, with a link to pay online.
- E-invoices
- Invoices and credit notes are submitted to LHDN MyInvois as they are issued, in a nightly batch or by hand, as your policy sets. Their status is tracked, and validated documents carry the MyInvois QR code.
Questions about fees, billing and payments
Can fees be based on the number of subjects a student takes?
Yes, tuition can be priced in tiers by subject count, per subject, per level or as a package, with material and registration fees on top. Subsidies and per-student overrides are applied when the fee run is prepared.
What happens if a parent pays only part of an invoice?
The payment is allocated to the invoice lines it covers, and the rest stays outstanding on the statement. If a parent pays more than is due, the extra is kept as a deposit for the next invoice or refunded.
What if a student joins or changes subjects in the middle of the month?
TuitionSync can charge or credit the difference automatically, such as the change in subject tier, and link it to the original invoice. Centres that leave this off add the charge or credit note by hand.
Can we show a parent how a fee was worked out?
Yes, each invoice line keeps the rule, subject count, subsidy and discount that produced it, so staff can explain a fee to a parent line by line.
